Position Overview:
The Operations Coordinator is an integral part of the Lake Holiday Country Club administrative team who helps to ensure efficient operations within the administrative office and throughout the community.
The Coordinator oversees day-to-day office operations with four staff members reporting directly to the Coordinator.
The successful candidate will assist the General Manager in operational oversight with a focus on ensuring a high level of customer service to community members.
The position has the potential to transition into an Assistant General Manager position over the course of the next three years as the successful candidate acquires association management certifications, and advances in their knowledge and understanding of the community.
Advancement will be dependent upon performance.
Primary Position
Responsibilities:
Provides direction to office personnel utilizing a hands-on approach, lending assistance, and helping to ensure an efficient, customer service focused approach to member services.
Provides administrative support to the General Manager and all team members.
Maintains a thorough knowledge of all office positions and their specific duties.
Makes recommendations for improvements in office procedures to the General Manager.
Serves as a backup for all positions as necessary.
Works with the General Manager and the attorney in the collection of delinquent dues including the preparation and filing of liens on delinquent accounts, preparing reports for the attorney, tracking liens, and preparing releases once they are satisfied.
Serves as the Association Records Supervisor by organizing, storing, and archiving critical records in both digital and physical formats.
Ensure that records are maintained according to the association's approved document retention plan.
Serves as back up to the General Manager in interactions with vendors and service providers.
Assists with oversight of the entry gate and patrol contractor's performance.
Assists with scheduling and oversight of the maintenance team.
Oversees day-to-day operations in the absence of the General Manager.
Provides for off hours call response when the General Manager is away or on vacation.
Assists with answering member emails and phone calls.
Attributes, Knowledge & Skills Required:
Computer proficiency with excellent keyboarding skills.
Proficient with Microsoft Office Suite, SharePoint, Word, Teams, Excel, and Outlook (or similar with a desire and ability to learn quickly).
Excellent written and verbal communication skills.
Self-starter with the ability to identify job needs, formulate and implement applicable solutions.
Organized and able to prioritize work demands effectively to meet deadlines.
Excellent interpersonal skills, able to work with a wide range of people and personality types in an effective manner.
Ability to work with community members, staff, and volunteers with varying backgrounds.

Position Requirements:
Prior office administration experience with a minimum of two (2) years and preferably five (5) years verifiable experience.
References required.
Prior human resource supervisory experience.
A willingness to participate in continuing education courses.
Must be able to acquire a Community Manager of Community Associations (CMCA) certification within one year of hiring.
Required courses paid by Lake Holiday.
Wages:
Wages commensurate with experience, education, and skills.

Lake Holiday Country Club offers a 401K plan with matching contributions up to 4% after 30 days of employment.
Paid time off (PTO) of 6 days the first year of employment, increasing to 12 days per year during the second year of employment, increasing again after 5 years of employment to 18 days per year.
10 paid holidays are provided per year.
Health Insurance is available through a group policy with Lake Holiday paying 50% of the premium for the employee.
Premiums for dependents are paid entirely by the employee.
